Statistics Department Room Reservation and Management Policy

We are happy to announce that we have set up electronic calendars (CalAgenda) for all our rooms which are scheduled for different departmental activities. We hope that you will find this system a great improvement over our current paper and pencil system. You no longer have to come to the front office to request a reservation, nor flip through pages to guess at potential conflicts. Just look up the availability on-line and send us an email. You will be able to confirm your reservation the following day. We are also providing the departmental policies for prioritizing room reservations.

The following rooms have been set up in CalAgenda:

If you would like to reserve a room, the new procedure is to ...

1. First look online at the MARC calendar in CalAgenda. All of our rooms are listed under "Departmental Calendars". Below is a direct link to the list (please bookmark this page for your convenience): http://calagenda.berkeley.edu/marc/dept_calendars.html.

Click on the month you are interested in to see the existing reservations, if any, and determine if your desired date and time are available.

2. If your desired room is available, please send an email to schedule@stat.berkeley.edu.

Please include the following information in your email:

Subject Line: List the requested room (example: Room 443 or Conference Room).

Email Body:

    Your Name
    The Room Number you would like to reserve
    Purpose
    The Date and Time (example May 21, 3:15-4:30 PM). For repeating reservations, please be as specific as possible (example Beginning July 1st, 2-4 PM every first Wednesday until Nov. 4th).

3. Confirm your reservation on-line. The online public calendar is updated daily at 6 AM. Therefore, added or deleted events will be reflected the next day.

 

Scheduling Policies:

    All rooms are available for official university business only.

 

Scheduling Priorities:

    Statistics courses (including course-related uses such as review sessions, extra office hours, and grading)
    Statistics standing meetings and seminars
    Statistics special events, meetings, or seminars
    On a case by case basis, the Statistics Department may consider requests from partnering departments to schedule courses and meetings but we may not be able to confirm until after the second week of classes when course room assignments are finalized.

 

Who Can Reserve Rooms:

1. All Statistics faculty, staff, graduate students and visitors
2. Partnering departments on an individual basis:

    a) Cal Teach
    b) Student Learning Center
    c) Math Department
    d) Public Health

Only the contact person who made the reservation may cancel or request a change to an existing reservation.

 

Timing Restrictions:

Normal building hours are M-F 7am-7pm. The building is closed to the public on weekdays after 7pm and all day on the weekends. The contact person reserving the room is responsible for ensuring that attendees have access to the room. The contact person is also responsible for closing the room if the meeting or event concludes after normal business hours. Staff is only available to open classroom doors M-F 8am-12pm, and 1-5pm.

 

When Rooms Can Be Reserved:

GSI Office Hours Rooms (307 and 387 Evans) may not be scheduled until all GSIs have been assigned. Denise will contact GSIs during the first or second week of the semester with instructions to sign up for office hours. No more than 2 GSIs should schedule the same office hours in a given room.

All other rooms can typically be scheduled up to 2 months prior to the start of a semester.
